3. Information we collect
3.1 Information you give us on this website
- Contact and enquiry forms: your name, email address, subject and message.
- Licence Estimator: your answers about your business activity, jurisdiction, shareholders, visas, office type and timeline, together with your first name, last name, email address, phone number and nationality.

3.2 Calls, email and WhatsApp
When you call, email or message us, we receive your contact details, the content of your messages, any files you send, and notes our team makes about the conversation so we can follow up properly.
3.3 Meta (Facebook and Instagram) lead ads
If you submit a lead form in one of our adverts on Facebook or Instagram, Meta passes us the information you entered, such as your name, phone number, email address and your answers to the questions in the form, along with which advert or form you responded to. Meta’s own privacy policy applies to how Meta handles your information on its platforms.
3.4 Information and documents during a client engagement
When you become a client, UAE authorities, free zones, banks and service providers require certain information before they can process your application. Depending on the service, we may ask for:
- passport copies and passport-style photographs
- Emirates ID copies
- UAE visa, entry permit or residence details
- contact details and home-country address
- details of shareholders, directors, managers and beneficial owners, including ownership percentages
- documents for corporate shareholders, such as certificates of incorporation, constitutional documents and board resolutions
- proposed company names, business activities and office or lease details
- background information requested by banks for account opening, such as a business profile and source of funds
- information needed for visa processing, including arrangements for medical fitness tests and Emirates ID biometrics
- billing and payment details for our invoices
Some of this information is sensitive, for example nationality or information linked to a visa medical test. We only ask for what the relevant process requires.
If you give us information about other people, such as business partners, employees or family members you plan to sponsor, please make sure they know you are sharing it with us and why.
3.5 Information collected automatically
Like most websites, our website and hosting systems record basic technical information when you visit, such as your IP address, browser and device type, the pages you request and the date and time. We use this to run the website, keep it secure and fix problems. Please see Section 7 for how we use cookies.
4. How we use your information
We use personal information to:
- answer your enquiries, calls and messages
- prepare quotations and cost estimates
- carry out company formation, licensing, renewals and amendments
- coordinate visas, Emirates ID, medical fitness tests and related services
- support bank account applications when you ask us to
- keep you updated about your application by phone, email or WhatsApp
- issue invoices, take payments and keep accounting records
- follow up on enquiries you have made, including through our Meta lead ads
- keep our website and systems secure and prevent spam or misuse
- meet our legal, regulatory, tax and client-verification obligations and respond to lawful requests from authorities
If we send you information about our services beyond your original enquiry, you can ask us to stop at any time.
5. Our reasons for using your information
We use your personal information only where we have a valid reason under the laws that apply to us, namely:
- Your request or our agreement: to respond to what you asked for and to deliver the services you engage us for.
- Legal obligations: to meet requirements set by UAE law and by the authorities we deal with.
- Legitimate business interests: to run, secure and improve our business and to follow up on enquiries, always balanced against your rights.
- Consent: where we ask for it, such as the consent statement in our Licence Estimator. You can withdraw consent at any time. This does not affect anything we did before you withdrew it.
6. Who we share your information with
We share personal information only where it is relevant to your enquiry or engagement, and only what the recipient needs:
- Government and free zone authorities: mainland licensing departments, free zone authorities, and immigration and residency authorities that process your company and visa applications.
- Banks: banks you ask us to approach for account opening.
- Visa and medical service providers: providers that handle visa applications, medical fitness tests and Emirates ID processing.
- Payment providers: providers that process payments you make to us.
- Technology and service providers: providers that help us run our business, such as website hosting, email, phone and messaging services (including WhatsApp), online appointment booking (Calendly) and record-keeping tools. They act on our instructions or under their own terms when you use their services directly.
- Legal requirements: courts, regulators or law enforcement where the law requires us to share information.
Authorities, banks and other organisations that receive your information use it under their own rules and privacy policies. We do not sell your personal information.
7. Cookies
Cookies are small files stored in your browser. Based on our review of this website, we do not currently use our own analytics cookies, advertising cookies or tracking pixels.
The website may use:
- Essential cookies needed for the website to work, including cookies set only for our staff when they log in to manage the website.
- Language preference: if you use the language selector, a cookie may be stored to remember your chosen language.
- Embedded map: our Contact page shows an embedded Google map. When it loads, Google may set cookies and receive information such as your IP address.
- Booking calendar: the Calendly booking calendar on our Golden Visa page may set its own cookies when it loads or when you use it.
Google and Calendly handle this information under their own privacy policies. You can block or delete cookies in your browser settings. Most of the website will still work, although your language choice may not be remembered and embedded content may not load. If we add analytics or advertising tools in future, we will update this policy before doing so.
8. International transfers
Most information connected to a company setup goes to authorities, banks and service providers in the UAE. However, some of our technology providers, such as email and messaging services, may store or process information outside the UAE. If your setup involves another country, for example attesting documents issued abroad, information may also be sent there when needed.
When information leaves the UAE, we take reasonable steps so that it stays protected in line with this policy and applicable law.
9. How long we keep your information
We keep personal information only for as long as we need it:
- Enquiries that do not become engagements: for as long as reasonably needed to deal with and follow up on your enquiry. After that, we delete or anonymise them.
- Client files: for the length of the engagement, and afterwards for as long as required to meet our legal, accounting, tax and regulatory obligations or to deal with any dispute.
When information is no longer needed, we delete it or anonymise it.
10. How we protect your information
We use reasonable technical and organisational measures to protect personal information. These include limiting access to team members who need it and using a secure (HTTPS) connection on this website. No website or transmission method is completely secure, so please send identity documents only through the channels we have agreed with you.
11. Your privacy rights
Depending on the law that applies to you, you may ask us to:
- give you access to the personal information we hold about you
- correct information that is inaccurate or incomplete
- delete your information (see Section 12)
- restrict or object to certain uses of your information
- withdraw consent you have given
- stop sending you information about our services
- provide your information in a portable format, where applicable
To make a request, contact us using the details in Section 2. We may need to confirm your identity before acting, and we will respond within the time required by applicable law. You may also have the right to complain to the relevant data protection authority.
12. How to request data deletion
To ask us to delete your personal information, contact us by phone or WhatsApp on +971 50 729 8608, by email at info@digimaconesolution.com, or through our Contact page. Please include:
- your full name
- the phone number or email address you used with us
- whether you want an enquiry deleted or all records we hold about you
We will confirm your identity, delete or anonymise the information we are not required to keep, and let you know when this is done.
What we may have to keep: we cannot delete some records immediately, including:
- invoices, payment and accounting records
- company formation records and client identification documents we must keep by law
- information needed to establish or defend legal claims
Information already submitted to government authorities, free zones, banks or other service providers is held by those organisations under their own rules. We can tell you who we shared it with so you can contact them directly. Deleting your information from our records does not delete it from Meta; you can manage your Facebook and Instagram data through your Meta account settings.
13. Children
Our services are for adults and businesses. We do not knowingly collect information from children, except where a parent or guardian gives us details of dependants for visa sponsorship.
14. Other websites and platforms
Our website links to WhatsApp and to our pages on Facebook, Instagram and LinkedIn, and it includes embedded content from Google Maps and Calendly. These platforms have their own privacy policies, and we are not responsible for how they handle your information.
15. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page shows when it was last changed.
